Summer School on Biomolecular Simulations 2025

To apply you will need the following information:

• Support letter from your supervisor or a senior co-worker explaining why you should be selected for this course (in word or pdf format)
• Poster abstract (limit: 250 words – you will be able to present and discuss your research during the course)
• A text with your biography and work history (limit: 200 words)

The support letter is attached to the application as a word or pdf file. The abstract and the text with the biography and work history are introduced in text boxes in the application form. We can only accept applications from individuals based at  EuroHPC Joint Undertaking member institutions (unfortunately excluding the UK, which was not a member, when BioExcel-3 was funded). Please complete the application process by midnight (CEST) on Friday 14 February. Incomplete applications will not be considered. All applicants will be informed of the status of their application (successful, waiting list, rejected) by Monday 3 March. Tips for a good application

1) During the selection process we focus on:

• Do you have the pre-requisite knowledge?
• Will your research and research group benefit from what you learn in this course?

So, please pay special attention to the following 3 questions on the application form:

• How you fulfill the pre-requisite knowledge
• Describe your research interests
• Describe how this course will benefit your own research or your group

2) You are asked to add a (poster) abstract about your research to be presented during the BioExcel school. If you do not have any results yet, you can write your abstract as a short introduction to the topic and a working plan. The poster and final abstract will be submitted later, closer to the School.

The BioExcel Summer School Participation Fee Waiver is designed to support researchers in attending the BioExcel Summer School by covering their registration fees prior to the event, i.e. participants who are awarded the fee waiver will be fully exempt of the full registration fee. Please, carefully consider the details below before applying.

Summer School Participation Fee Waiver details

• Amount supported: full registration fee
• Number of available waivers: a maximum of 5 waivers of may be granted
• Validity: valid only for successful applicants
• Timeline: prior the School, notification will be communicated by email before starting the payment process

Summer School Participation Fee Waiver award procedure

• The receivers of the Summer School Participation Fee Waiver will be selected by the Organising Committee of the School.
• The Organising Committee has full authority in determining the number of Waivers given and in selecting the grantees. The criteria for selection include scientific merits and demonstrated financial need. The Committee’s decisions cannot be appealed.
• Only accepted School applicants are eligible for the Waivers.
• An application for the Participation Fee Waiver must be provided together with School’s registration and in accordance with the registration deadline. Waiver applications received after the deadline will not be considered.
• Summer School Participation Fee Waiver applicants, whether they are awarded or rejected, will be informed of the outcome of the award procedure by email.

• Note: We encourage all Summer School Participation Fee Waiver applicants to actively pursue other sources of funding as the number of grants is limited and the process is highly competitive.

Eligibility criteria:

To be eligible for a BioExcel Summer School Participation Fee Waiver:

• You must be a student or early career scientist at an academic institution of EuroHPC JU participating countries.
• If your institution is one of the BioExcel partners, contact us as soon as possible.
• Your research or primary activity must be within the BioExcel CoE field of interest.
• You must not have received funding from BioExcel in the past 12 months.

How to apply:

To apply for the BioExcel Summer School 2025 Participation Fee Waiver, please follow the instructions below:

• During the registration process, you will be asked if you wish to apply for the Fee Waiver. Please select Yes or No.
• Make sure that the requested letter of support from a supervisor or a senior co-worker, which explains why you should be selected for this School, also specifically addresses why you should be considered for the Fee Waiver.

Terms and conditions:

Once awarded, the grantees are required to read and agree to our terms and conditions:

• The waivers are valid only for the successful applicant.
• The awarded applicant must participate in the full Summer School Program and confirm School’s participation by providing e-copies of travel documents no later than April 1st, 2025, otherwise the Organising Committee may transfer the granted waiver to another participant.
• The awarded applicant must inform the Organising Committee of possible cancellation as soon as possible and preferably by April 1st, 2025 at the latest.
• Recipients of the Waiver are expected to be engage in PR activities during and after the School, such as providing testimonials for the BioExcel web site or sharing experiences on social media.
• Consent with BioExcel Privacy Policy and all other regulations while submitting the School application form.
